Check your CIS deductions with HMRC

Every month, contractors who deduct tax from you under CIS also report those deductions to HMRC. Once your tax year has ended, you can see what each contractor reported next to your own figures on BusyBee Hub, and send yours to HMRC where they differ, before you complete your Final Declaration.

Before you start

You need:

  • Your tax year to have ended (5 April); HMRC does not accept CIS deductions before then.
  • A live connection to HMRC (see Connect to HMRC).
  • Each contractor's employer reference saved on their contact (something like `123/AB56797`); add it in Contacts if it's missing.

Where to do this

Open your Final Declaration for the tax year and find the CIS deductions step.

The steps

1. Refresh from HMRC, pulls what contractors have reported for the year into BusyBee Hub.
2. Read the table, per contractor:
- You have, your own recorded deductions for the tax year.
- Contractor reported, what that contractor told HMRC.
- You sent, what BusyBee Hub has already sent to HMRC on your behalf, if anything.
- Difference, how far apart "You have" is from what HMRC currently holds for you. "Matches" means there's nothing left to send.
3. Where the figures differ, use:
- Send our figures, the first time you send this contractor's deductions for the year.
- Update at HMRC, corrects figures you've already sent.
- Remove from HMRC, withdraws what you previously sent for this contractor and year (asks you to confirm first).
4. Once you're happy every contractor matches (or you've sent what's different), move on to HMRC's calculation; it will reflect the figures you've just sent.

"Not in your contacts"

If HMRC reports a contractor you don't have as a contact (usually because the employer reference doesn't match one you've saved), it's shown for information only; there's nothing to send for it. Add or fix the contact's employer reference and refresh again.

Why the employer reference matters

BusyBee Hub matches your contacts to what HMRC reports by employer reference. Without one saved on the contact, sending is blocked with a reminder to add it in Contacts first.

Statements

HMRC may ask for the payment and deduction statements contractors gave you as evidence for what you're claiming. If any are missing or don't match what you've recorded, the step tells you; see Record a CIS statement.
